Healthcare outsourcing that works inside your practice
Six services your front and back office can hand off: billing, revenue cycle, documents, scheduling, telehealth support and patient calls. One team, one BAA, your systems.
What you can hand off
Every service runs inside your existing EHR, practice management system and phone tools. You keep control of the accounts and can see every action we take.
Medical billing & coding
Charge entry, coding review, clean claim submission and payment posting, so claims go out right the first time.

Patient scheduling & support
Booking, rescheduling, confirmations and waitlists handled by a team that follows your scheduling rules.
Patient scheduling & support
On-screen CSR & telehealth support

On-screen CSR & telehealth support
Inbound & outbound communication
Calls, texts and portal messages answered, routed and followed up, including recalls and balance reminders.
Inbound & outbound communicationWhy practices outsource this work
Administrative work grows faster than headcount. A front desk that also verifies insurance, answers the phone, indexes faxes and chases denials will drop something every day. Outsourcing moves the repeatable, rules-based work to a team that does it all day, while your staff stays with patients.
- Coverage without hiring. No recruiting, training or covering for vacations and sick days.
- Consistency. Written procedures for each task, so the work is done the same way every time.
- Visibility. Named accounts and a monthly report show exactly what was done.
- Focus. Your staff spends its time on patients in the building.
How every engagement is set up
Intro call
We learn your specialty, systems, volumes and where work is backing up.
BAA and access
We sign a Business Associate Agreement, then you create named accounts for our team with only the permissions each task needs.
Written procedures
We document how each task is done in your practice and agree on handoffs with your staff.
Staged handoff
We take over one workflow at a time and run alongside your team until the handoff is clean.
Monthly review
A plain-English report and a call on volumes, turnaround and anything that needs your decision.
Built around patient privacy
We are a business associate of every practice we support. That means a signed BAA, access limited to the minimum necessary, named accounts instead of shared logins, and safeguards that follow the HIPAA Security Rule. Read how we handle patient data on our HIPAA page.
Healthcare outsourcing questions
Email hello@claimcoders.com if yours isn't here.
What does healthcare outsourcing mean for a medical practice?
It means a trained outside team does administrative work your staff would otherwise do, such as billing, coding review, scheduling, document indexing and patient calls. The work happens in your systems, under your policies and a signed Business Associate Agreement.
Is outsourcing billing and front-office work HIPAA compliant?
It can be. HIPAA allows a practice to use a business associate for these tasks when a Business Associate Agreement is in place and the business associate follows the Security Rule. We sign a BAA with every client before any access is granted.
Will our patients know they are talking to an outside team?
Our team answers as your practice, using your greeting, scripts and policies. If a patient asks, we tell them we support your office. We never pretend to be clinical staff.
Do we need to sign up for all six services?
No. Each service stands on its own. Most practices start with the one that hurts most and add more once they trust the work.
What do you need from us to start?
A signed BAA, named user accounts in your EHR, practice management system and phone or messaging tools, and an hour with the person who knows your current workflow.
Hand off the work that keeps your team late.
Tell us which tasks pile up and which systems you use. We reply within one business day.
